Google Access & Sync Guide
Purpose: This page gives you (our client) two clear options for granting Pathfinder Creative the access we need to connect your website, Google tools, and Trailbase (our CRM). Choose Option A (recommended) for the fastest, most secure setup — or Option B if you prefer to grant access app‑by‑app.

Overview
- Connect your Google tools (Analytics, Search Console, Business Profile, Calendar) so we can track leads and bookings accurately
- Ensure we can manage these integrations quickly and securely, without sharing your personal logins
This allows us to:
✅ Run ads from your business name
✅ Track results with Google Tag Manager
✅ Integrate your website, Google and CRM (Trailbase)
✅ Keep your billing and transparency secure
Option A — Create ONE Google Workspace user for us (Recommended)
Best for: Small/medium teams that want a simple, secure, and low‑maintenance setup.
What you’ll create: a dedicated Google user for us, e.g. pathfinder@yourdomain.com (or marketing@yourdomain.com). You can disable it anytime.
Why this is best
✅ Single login for all Google integrations (GA4, Search Console, Business Profile, Calendar)
✅ No personal Gmail sharing or one‑off invites
✅ Easy offboarding (disable one account to revoke all access)
✅ Fewer steps and less back‑and‑forth
Step 1 — Create the user in Google Workspace
-
Go to admin.google.com (Google Admin Console) and sign in as an admin
-
Users → Add new user
-
Name: Pathfinder Creative (or your preferred label)
-
Primary email:
pathfinder@yourdomain.com or marketing@yourdomain.com -
Set a temporary password (we’ll reset it after first login). Our current email is contact@pathfindercreative.com.
-
Admin roles: assign Super Admin (fastest)
-
Alternative (more granular): assign service‑specific roles, e.g. Search Console Owner, Google Business Profile Manager; but Super Admin is simplest for setup
-
-
Save and send the credentials to us securely
Step 2 — (Optional but helpful) Give this user event/calendar access
-
If you use personal staff calendars for bookings, have each staff member share their calendar with the new user: Calendar → Settings → [Calendar] → Share → “Make changes and manage sharing.”
-
If you use a shared company calendar for bookings, share that calendar with the new user at the same permission level.
Step 3 — We’ll handle the rest
Logged in as this user, we’ll:
-
Create/configure GA4 and publish tracking via Google Tag Manager or your site’s tag tool
-
Verify the domain and onboard Google Search Console (domain property)
-
Connect Google Business Profile to Trailbase for messaging/lead syncing
-
Link Calendars to Trailbase for online booking
-
(If applicable) Link Google Ads and import conversions from GA4
Security note: you can revoke or reset this account anytime in Google Admin → Users.
Option B — Grant access app‑by‑app (Granular)
Best for: Larger teams or organizations with strict IT policies.
You keep your current users; you add our email (contact
@pathfindercreative.com) to each Google product separately.
GA4 (Google Analytics 4)
Go to analytics.google.com → choose the correct Account/Property
Admin → Account access management (and also Property access management)
Add user →
contact@pathfindercreative.com(or the provided email)Permissions:
Account: Editor or Administrator
Property: Editor (required to configure streams, conversions, links)
If GA4 doesn’t exist yet, we’ll guide you to create it or do it via Option A.
Google Tag Manager (if used)
Go to tagmanager.google.com → select your Container
Admin → User Management → Add
Grant Admin (to publish) or Publish + Approve permissions
Google Search Console
Go to search.google.com/search-console
If your site isn’t added, we’ll request a Domain property (best) and verify via DNS
For an existing property: Settings → Users and permissions → Add user → grant Full permission
If DNS verification is needed: add the provided TXT record at your DNS (Cloudflare, GoDaddy, etc.)
Google Business Profile (GBP)
Go to business.google.com (Profile Manager)
Select your location → Settings → Managers (or “Business Profile settings → People and access”)
Add
contact@pathfindercreative.comas Manager (or Owner if you want full handoff)
Google Calendar (for online booking)
Per‑staff setup: each team member opens Google Calendar → Settings → [their calendar] → Share with specific people → add our email with “Make changes and manage sharing.”
Shared calendar setup: share your booking calendar to our email with the same permission level
Trailbase connection: we’ll authorize Google from inside your Trailbase account and map calendars to services/appointment types
Google Ads (optional)
If you already have a Google Ads account: Tools → Access and security → Users → + → add our email as Admin
If you operate under a Manager (MCC), you can share the Customer ID and we’ll link via manager access
